Booking & Studio Policies

The terms that protect both you and The Tomb Studio. Plain language, no legalese games.

1. Booking & Payment Policy

All sessions at The Tomb Studio are reserved through a paid Stripe Checkout. Your time slot is held the moment Stripe confirms the charge and not a second sooner.

You can choose between two payment modes at checkout:

  • 50% Deposit. Half of the session total is charged now, the remaining half is due at the studio. The balance can be paid online from your dashboard, in person via Stripe, or in cash to your engineer.
  • Pay in Full. The full session total is charged now in a single transaction. There is nothing to pay at the studio.

Once the deposit clears we email a receipt and the booking shows up in your dashboard. If you close the Stripe tab before the redirect, our webhook still confirms the booking automatically.

All prices are in U.S. dollars. Stripe processing fees are already included in the listed price.

2. Reschedule & Cancellation

Plans change. We allow free reschedules under one rule:

  • 48-hour notice. Reschedules are free if requested at least 48 hours before your slot starts. Use the “Reschedule” link on the booking in your dashboard. The deposit you already paid carries over to the new slot. There is no extra Stripe charge.
  • Inside the 48-hour window. The slot is forfeited and the deposit is kept. You can still book a new slot at any time, but youll be paying a new deposit for it.
  • Cancellations. You may cancel any time, but the deposit on the cancelled booking is non-refundable. It is a holding fee for the time we set aside, not a deferred payment for the session.
  • No-shows. If you do not show up and have not rescheduled or cancelled, the session is treated as a no-show: status becomes cancelled, deposit is kept, and you are welcome to book again.
  • Studio cancellations. If the studio cancels for any reason, you are refunded in full or offered the next equivalent slot - your call.

3. No-Shows

A no-show is any booking where you do not arrive within 30 minutes of the scheduled start time and have not contacted the studio or rescheduled in advance.

  • First no-show. The session is marked cancelled. The deposit is forfeited. You may book a new slot immediately.
  • Second no-show within 90 days. Booking privileges are suspended for 30 days from the missed session date. A warning email is sent.
  • Third no-show within 180 days. The account is flagged for admin review and future bookings may require full payment upfront.
  • Paid-in-full no-shows. If you paid in full and no-showed, the deposit portion (50%) is forfeited and the remaining 50% is issued as studio credit, not a cash refund. Studio credit expires 12 months from issuance.

If you know you are running late, call or text the studio before your session time. A courtesy heads-up within 30 minutes of the start will not trigger the no-show policy.

4. Unpaid Balances

When you pay a 50% deposit and choose to pay the remaining balance in cash at the studio:

  • Balance due at session start. The remaining 50% is collected before the engineer opens Pro Tools. Sessions will not begin until the balance is settled.
  • Online pre-payment preferred. You can pay your remaining balance any time before the session from your dashboard via Stripe. This is the easiest option for everyone.
  • Partial cash payment. If you can only cover part of the balance in cash, the session is shortened proportionally to the hours you can pay for. The engineer's rate applies to actual hours worked.
  • Persistent unpaid balances. If a session is completed and a cash balance goes unpaid, the account is flagged and future bookings require full Stripe payment upfront until the balance is cleared.

5. Studio Credit

Studio credit is issued in specific circumstances and functions as an internal voucher applied at checkout:

  • Late cancellation credit. When you cancel inside the 48-hour window and had already paid in full, the non-deposit portion (50% of the session total) is returned as studio credit instead of cash.
  • No-show credit. As described in Section 3: paid-in-full no-shows receive the over-deposit portion back as credit.
  • Studio error credit. If the studio cancels, causes a technical failure, or makes a verified error, the affected client receives a full credit plus a complimentary session of equal value.
  • Star Artist award credit. Monthly award winners receive a free-hour credit (1 hour at their usual engineer's rate, absorbed by the studio). Credits expire at the end of the award month.
  • Expiry. Standard studio credit expires 12 months from the date of issuance. Expired credit is forfeited with no cash equivalent.
  • Non-transferable. Credits are tied to the account that received them and cannot be gifted, sold, or transferred.

6. Anti-Chargeback Policy

Chargebacks are not a substitute for our cancellation flow. By completing Stripe Checkout you explicitly agree to the terms on this page, and we keep a full audit trail (timestamps, IP, Stripe Payment Intent, your acknowledgement of these policies) that we will produce for any dispute.

Specifically, you agree that:

  • The deposit is a service fee for reserving studio time and is not refundable through a chargeback.
  • A no-show or late cancellation is not a billing error.
  • Disagreements about the quality of a delivered service must first be raised directly with us at thetombstu@gmail.com. We commit to responding within 3 business days and offering a remix, partial refund, or store credit when appropriate.
  • Filing a chargeback without first contacting us, or after we have tried to make it right, may result in:
    • Account suspension on the Tomb platform.
    • Your account being banned from future bookings.
    • The disputed amount, plus Stripe's chargeback fee, being pursued through small-claims court in Summit County, Ohio.
  • Stripe receipts, our policy URL, the Keycloak sign-in trail, the IP+timestamp of the booking, and any session photos/recordings constitute admissible evidence in a Stripe dispute.

If something is genuinely wrong, talk to us first. We are real people, we work hard, and we want you to leave The Tomb happy.

7. Studio Behavior Expectations

The Tomb Studio is a professional creative space shared by engineers, artists, and producers. To keep it that way:

  • Be on time. Sessions start at the booked time. Late arrivals do not extend the session.
  • No hard drugs, no firearms. Cannabis use consistent with Ohio law is OK in the lounge area only. Engineers may end any session if anyone present is unsafe.
  • Respect the room. No food on the console or near the mic. Drinks in containers with lids only. Replace anything you damage.
  • Reasonable guest count. Up to four guests including the artist. Larger groups need to be cleared with us in advance.
  • Zero harassment. Hate speech, threats, sexual harassment, or violence toward staff or other clients ends the session immediately. Deposit is forfeited and the account may be banned.
  • Recordings & photos. The studio may take incidental photos/videos for marketing. If you do not want to be tagged or featured, tell your engineer at the start of the session and we will respect it.
  • Files. Project files are kept on our servers for at least 12 months, often longer. You can request your stems or a session file at any time.

8. Privacy Policy

We collect only what we need to run the studio:

  • Account. Name, email, and Keycloak identity. No password - sign-in is delegated to Keycloak via OAuth.
  • Bookings. The service, date, time, payment receipts, and any notes you add. Stored in our database for at least 7 years for tax purposes.
  • Payments. Card details are never stored by us. Stripe handles the charge, and we receive only a Payment Intent ID and the last four digits.
  • Beats & merch. Audio uploads, producer payout email, and sale records. Audio files stay on our servers and are never shared outside the purchase you grant access to.
  • Site analytics. Server access logs (IP + user-agent) are kept for 30 days. We do not run third-party trackers or ad pixels.

We do not sell your data. We share with vendors only when necessary to deliver the service: Stripe (payments), Keycloak (sign-in), Cloudflare (CDN/edge), and our hosting provider.

You can request a copy or deletion of your data by emailing thetombstu@gmail.com. Deletions that conflict with our tax-record retention window are honored as soon as that window closes.

9. Liability & Indemnification

The Tomb Studio is provided as-is. To the fullest extent allowed by Ohio law:

  • You are responsible for your personal property in the studio.
  • You are responsible for any damage you or your guests cause to studio equipment or the room itself, billed at the documented replacement cost.
  • You retain copyright in your recordings. The Tomb Studio claims no ownership of master or composition rights to your work.
  • The studio is not liable for indirect or consequential damages (lost income, missed opportunities, etc.) related to a session.
  • In the rare event of a verified studio error (lost session file, rendering failure, etc.) our maximum liability is a full refund of that session and a free re-do.

By booking a session, paying a deposit, or buying any digital product through this site, you confirm that you have read and agreed to this policy in its entirety. The policy may be revised; the version in effect at the time of your booking is the version that governs that booking.
